How do I plan a job in Ops Calendar?

Published · Updated

In Ops Calendar a job is planned as a whole day, not just the hours guests are there.

Getting started

  1. Set up your team: create your organization and invite members.
  2. Add your equipment: list your products and the units you have.
  3. Plan your first job: set phase times, assign equipment and choose the crew.

The five phases

Every job has five phases, each with its own start and end time:

  • Travel
  • Setup
  • Event
  • Teardown
  • Return

Change the times and the calendar, schedule and boards update together.

Equipment

Add products to the job. Ops Calendar assigns available equipment, warns about overlapping bookings and shows the units available for the hours you select.

Crew

Assign a lead and crew for each phase, for example warehouse crew for travel and return and field crew for setup and teardown. Ops Calendar shows overlapping assignments before the job, and the team can record progress such as "Setup started" from the field.

Files and contacts

Keep setup photos, event videos, aftermovies, branding and frame files with the job, and keep the client, brand, agency and supplier details connected to the work.
